Method to obtain support Issue: The campus needs a well known, automated way to document the questions and work requests (also called issues) submitted to Web Services in order to provide upgraded client services.

Solution: Web Services has implemented an automated queue and knowledge base to track questions, work requests and responses. Over time this functionality will provide an statistical basis from which to analyze services. Each contributor will be made aware of the Helpdesk during their training session. If you are a web site owner, author, contributor or member of the University Relations staff you are authorized to submit questions and work requests using the new Web Services queue. (You can still use the phone and/or email express yourself, but these communications will then need to be added to the queue... slowing the process and adding to the response time.) Take this Action - Here's how it works: The new queue site is located at: http://www.usfsp.org/helpdesk/index.asp use this link to submit your questions and work requests. Submit an issue in just three steps: Step 1: Enter a short descriptive title and click next. (Example: student information request form needed) Step 2: Review issues to see if any of them solve your problem. Then Click Submit or Cancel to move to the next screen. Step 3: Document your issue (question or request). You can enter an example page address and describe your issue here. That's it! your issue will be date and time stamped and you can use you new account to look up your past issues providing an easy reference tool. Your request will be recorded and routed to Web Services for resolution. This method will document all work performed by Web Services and is the quickest way to receive service.

Take this Action: Update all links on your site to reflect the new page location as cited above.
Question: Web Page File Names
Please use the three letter extension .htm when saving your web pages. This will help avoid confusion and broken when citing another contributors web page. The extension .html is not used by convention - the Macromedia Contribute default is .htm. Please use a short, descriptive name for your .htm files. examples: A page containing the Enrollment Services office staff directory could be named: office_directory.htm
A page containing Poynter Library information about Nelson Poynter could be named: npoynter_info.htm

Take this Action: Check to be sure you use the three letter extension .htm when Publishing a document in Contribute. Replace any .html pages with a .htm page Use short descriptive file names as outlined above.

Improved privacy for posted work E-mail addresses - Please be aware that Gary Baker (Academic Affairs), Berrie Watson (Poynter Library) and myself are changing the code that represents email addresses to an encrypted form to try to foil email harvesting robots that comb our sites looking for email addresses. The encryption is invisible to the end user, changing the code to make an email address unreadable.

Hi there fellow Contributor/Web Editors, I am happy to announce our web site is now tracking visitor statistics on the stpt.usf.edu domain using the DeepMetrix LiveStats.NET product. || Computing & Technology > "Web Statistics". This link provides the guest username and password automatically. Please report any anomalies you may encounter (a thousand thank you's and a chance to win the webmasters irregular award: lunch for two at the Columbia). You may find the Content Groups under the Pages and Content Reports useful. I have created the following beginning groups based upon the divisonal organization and college sites. Academic Affairs - top level pages Administration & Finance - top level pages Student Affairs - top level pages
AA - (Academic Affairs sites) AF - (Administrative & Financial Services sites) SA - (Student Affairs sites) ES - (Enrollment Services sites)

The web site and templates are getting more complex. I am a web editor, how do I obtain further in-service training?
Solution:
As our web sites become more complex, web editors need to keep current with in-service training.
Contribute training now takes approximately 1.5 hours and covers much more than the old 30 minute level one training. Last year level two training was designed to update current web editors to new functionalities on our web site. PLEASE NOTE: Some of the new functions rely on web editors making informed choices when editing, creating new directories and saving web pages. If you make choices based upon out-of-date information you can create more work for yourself. It is the responsibility of contributors to stay up-to-date on new procedures with in-service training. This database records all work performed on the web site offering us an objective standard by which to measure service. By taking time to submit your requests using the web helpdesk you insure that: - requests for service are completed in a timely manner (usually within 3-4 days, longer for projects)
